Intro
The Bobbin team needed a more efficient way to deliver professional, accurate pricing estimates to prospective clients. Their original system was difficult to update and produced basic-looking quotes, so they turned to automation, replacing manual edits with a smart spreadsheet-driven solution powered by a custom ChatGPT assistant.
Challenge
The complexity of the pricing spreadsheet, with its many variations and conditional responses made it difficult to cross-reference form inputs accurately. The existing system lacked flexibility, requiring technical edits for even small changes, and the output lacked the polished presentation Bobbin needed to reflect its brand.
Solution
To address the complexity, the team used integrated Gravity Forms with a custom-built GPT assistant that intelligently matched form responses with spreadsheet data. The outputs were reformatted using Zapier Formatter, compiled into a structured Google Docs template, converted into a professional-looking PDF, and automatically sent to the client in a personalised email, streamlining the entire process and improving consistency.
